Planning corporate events around a clear objective
A corporate event needs a purpose rather than a trend label. Decide whether the priority is conversation, explaining a product or celebrating an anniversary. Test each spending decision against that objective. A small discussion group requires different acoustics, rooms and schedules from a reception with a presentation.
Match the format to the guests
Record guest numbers, duration, seating needs and activities. Presentations need clear sightlines and intelligible sound. Networking benefits from smaller seating groups and a quieter conversation area. Check access, travel and dietary requirements early. Remote participation needs a named person responsible for transmission, permissions and technical support.
Compare the complete cost
Separate venue, food, equipment, technology, staff and transport. Ask whether VAT, setup, dismantling, cleaning, overtime and cancellation terms are included. A low rental rate does not imply a low total price. Keep a contingency tied to identified risks.
Derive equipment from the schedule
Mark reception, presentation, dining and social areas on a floor plan. Check dimensions, access routes, power and emergency exits with the operator. Rental quantities must be checked for the event dates. Browse the current rental catalogue and curated event styles.
Use resources deliberately
Reusable equipment, appropriate quantities and coordinated transport can reduce unnecessary work. Describe specific measures rather than making unsupported carbon neutral or zero waste claims.
Agree responsibilities and evaluate the result
Assign a time, owner and handover to each stage. Agree who handles delays and who is reachable on site. Afterwards, compare results with the original objective, review cost differences and collect guest feedback. This creates a useful basis for the next event.
Our own rental inventory and prices are listed in the current rental catalogue. Tents, portable toilets, generators, catering and other external services are not automatically included. Confirm additional services, responsibilities and availability with the relevant supplier in advance; only the confirmed quotation is binding.
