Establish which areas you can actually use
A beautiful courtyard is not yet a complete event space. During the site visit, ask which areas are approved for your celebration and which remain part of the vineyard's daily operations. Gates, working routes and entrances cannot become furniture positions simply because they happen to be empty during your visit.
Record the dimensions and ground conditions of each proposed area. Gravel, slopes and uneven paving affect furniture selection and placement. Check whether specific rental items suit the intended setting before booking; an attractive product photograph does not establish outdoor suitability.
Give the reception and dinner their own layouts
Start by drawing the route from the entrance to the reception and then to the seats. A drinks station in a passage can become a bottleneck even with a small group. Agree service positions and staff routes with the catering provider.
For dinner, test one complete table setting. Plates, glasses, water, decorations and any shared dishes need space at the same time. Low arrangements can make conversation easier. There is no need to repeat every vineyard motif in the styling; a restrained colour palette and a coherent choice of materials may be enough.
Make the wet-weather arrangement workable
Do not stop at checking that an indoor room exists. Confirm that it can accommodate the chosen furniture and the required circulation space. Prepare two scaled layouts. Agree with the venue when the location decision will be made and who will implement a move. A tent arranged at short notice is not a dependable substitute for an agreed indoor plan.
