A hybrid event needs to work for people in the room and those joining remotely. For a panel, presentation or internal meeting in Taunus and Rhine Main, start with the agenda: who will speak, what will be shown and when will questions from both groups be taken?
Plan furniture and camera positions together
Mark the discussion area, audience seats and presentation surface on a room plan. Agree camera positions with the responsible technical provider before finalising seating. Clear sightlines matter alongside space for chairs, operators and agreed circulation routes.
Rows may suit a presentation, while a discussion needs a clearly defined panel area. Table groups encourage conversation but change viewing directions. Choose furniture for the agenda, not simply the headcount.
Agree sound and streaming separately
Sound reinforcement in the room and audio for a broadcast are different tasks. Discuss microphones, playback, remote questions and background noise with the specialist. Cameras, streaming software, internet access, recording and technical operation also need an explicitly agreed scope.
A furniture or equipment package is not a promise of a complete streaming production. The rental catalogue lists equipment actually offered; additional technical services must be individually checked and agreed.
Check light and backgrounds on site
Windows, lamps and reflective surfaces can affect the camera image. Check the proposed view at the intended time of day. A calm background and coordinated materials support the design; the responsible provider confirms the technical lighting plan and equipment suitability.
Assign responsibilities and rehearse
Identify who handles moderation, online questions, technology and the on site schedule. Arrange a joint test with presentations and remote contributors. Ask the responsible parties to clarify permissions and participant information for recording or broadcasting.
