An attractive outdoor space is not automatically an event venue
Gardens, fields and courtyards may suit a celebration, but views are only part of the decision. Ask the owner whether the event type, guest count and duration are permitted. Public access does not automatically grant permission for private occupation or installations.
Inspect access and ground conditions
Check delivery access, unloading, ground stability and level surfaces. Record the route from the vehicle to the installation area. Stairs, long carrying distances and soft ground affect labour. Check accessible routes and lighting after dark.
Agree a weather alternative
A parasol is not a safe severe weather plan. Arrange a suitable indoor space or a professionally designed alternative. Name the person monitoring warnings and agree deadlines for relocation or cancellation. Tent anchoring, wind limits and operation require the responsible specialist supplier.
Plan power and toilets
List electrical equipment with the responsible suppliers and have power distribution planned professionally. Toilets, handwashing, waste and drinking water must match guest numbers and duration. Confirm separate costs and supervision for any external equipment.
Clarify permissions
Ask the venue operator and, where relevant, the competent authority about permitted use, noise, fire protection and other requirements. Requirements depend on the venue and event. This overview is not an individual legal assessment. Assign applications and documentation explicitly.
Choose suitable rental equipment
